Committee Overview
HOA forms various committees to extend its communication reach into the community, leverage the talent and knowledge of the community, and take the opportunity to hear a diversity of opinions within the community.
Six committees have been organized to provide assistance to the Board of Directors in the governance and operation of the community. The HOA committees offer homeowners the opportunity to actively participate in the life of Preserve at Deer Run and are vital to the wellbeing of the community. Please consider joining the committee that most interests you by completing the Committee Interest Form at the bottom of this page.
Our Committees:
Homeowners Association (HOA) committees are formed by the board of directors to assist with specific tasks and provide recommendations.
They typically don’t have final decision-making power, except for certain committees like the Architectural Review Committee (ARC). HOA committees are crucial for efficient management, allowing the board to delegate tasks and engage community members.
Architectural Review Committee (ARC) Committee
- PURPOSE. The purpose of the ARC is to promote and ensure a high level of quality, harmony and conformity throughout the neighborhood. The ARC reviews homeowners’ modification requests by using the rules set forth in the Covenants, Conditions and Restrictions (CC&Rs) found in the Declaration. Any improvements made must be aesthetically pleasing. They should maintain, or enhance, the value of the home (which, in turn, maintains homeowner values for the community).
- GOALS:
- ARC is responsible for enforcing the community’s architectural standards
- Continually review and provide approval decisions on homeowner plans submitted for exterior improvements
- MEETINGS. Meetings are held the 2nd and 4th Wednesday of every month. The committee will brief talking points on the 3rd Thursday of every month to the board.
Event Committee
- PURPOSE. The committee shall exist for the purpose of advising and assisting the Board of Directors in creating activities that foster a sense of community.
- GOALS:
- The committee should establish a process for identifying the needs and desires of the community.
- Develop a program to meet those needs and oversee the social programs in order to ensure that such pre-determined needs are met.
- MEETINGS. Meetings will be scheduled as needed. The committee will brief talking points on the 3rd Thursday of every month to the board
Hearing Committee
PURPOSE. The Hearing or Fine Committee only makes an approve or disapprove decision of the fine given from the Board of Directors. The decision must be based on the evidence presented and the HOA’s governing documents. If at least a majority of the committee does not approve the fine, it cannot be imposed.
- MEETINGS. Meetings will be scheduled as needed
Landscaping Committee
- PURPOSE. The committee shall exist for the purpose of advising and assisting the Board of Directors in maintenance of the community properties and common areas. It is also responsible for monitoring the properties of homeowners to help ensure that all community landscapes are well maintained and the community lawns and gardens comply with the landscaping rules and in the governing documents.
- GOALS:
- Work to identify the ideas and goals of the community regarding its properties and common areas
- Discuss and approve suggested projects
- Oversee the work done to ensure the successful completion of approved projects
- Monitor the landscaping contract
- MEETINGS. Meetings will be scheduled as needed. The committee will brief talking points on the 3rd Thursday of every month to the board
Pool Committee
- PURPOSE. The overall purpose of the Pool Committee is to monitor the quality of the pool, pool pavilion, the pool furniture, and recommend improvements to the Board of Directors.
- GOALS:
- To provide a safe, sanitary, and enjoyable pool.
- To improve the physical conditions of the pool and its environs
- MEETINGS. Meetings will be scheduled as needed. The committee will brief talking points on the 3rd Thursday of every month to the board
Road Committee
- PURPOSE.To oversee the maintenance and repair of all community roads within the HOA boundaries. This includes maintaining stormwater infrastructure, inspecting for drainage issues, and clearing debris. Develop and implement a proactive road maintenance plan and budget.
- GOALS:
Regularly inspect roads for potential hazards or deterioration.
Review and approve proposals for road construction or major repair projects.
- MEETINGS. Meetings will be scheduled as needed. The committee will brief talking points on the 3rd Thursday of every month to the board
How do I know if I am qualified to participate on a committee?
Committee members must currently be and remain in good financial standing with the Association (must be current on your quarterly assessments). Also, please have a realistic expectation about your available time to contribute. While subject knowledge is important, frequently you will need to spend time performing research, calling on others and following up emails to get the answers you need. It takes time to be a good committee member.
